To renew a Swiss residence permit, the application goes to the cantonal migration office, and it has to arrive before the current permit lapses. For an assignee, the employer usually carries the file. The employee supplies the personal documents, and the employer supplies the proof of employment.

This page is written for the HR or mobility manager who owns a population of permit holders. It explains the logic of renewal, not the exact duration of each permit. Durations and deadlines differ by permit category, by nationality and by canton, so the cantonal office confirms them case by case.

Why renewal is a managed process, not a reminder

A Swiss permit is not extended automatically. The authority reviews the situation again at each renewal. It looks at whether the employment continues, whether the housing and residence address are unchanged, and whether the family situation is the same.

For the employer, three consequences follow:

  • The permit expiry date is a business deadline, not a personal one. A lapsed permit can interrupt the right to work.
  • The employee's papers and the employer's papers must tell the same story. A change of role, salary or working time shows up in both files.
  • A late or incomplete file is slower to fix than a complete one is to prepare.

Track every expiry date in one register, held by HR. The relocation calendar can serve as a model for the sequence of steps.

Who applies

The answer depends on the permit category and on the canton. The usual pattern is as follows.

Situation Who usually files What the other side supplies
Employee on a permit tied to a Swiss employer Employer, or employee through the commune Passport, contract, proof of address
Accompanying family member Employee, with the family's documents Civil status documents, proof of housing
Self-employed or founder The permit holder Business records, proof of activity
Short-stay holder Employer, if an extension is possible at all Updated contract

In some cantons the employee registers the request at the commune (Gemeinde), which forwards it to the cantonal migration office. In others the employer submits directly. Ask the cantonal office which route applies before the window opens.

Permit categories and what each means for renewal

Swiss permits are issued in letters. The category sets how renewal works.

  • Permit L (short stay). Tied to a limited assignment. Whether an extension is possible depends on the reason for the stay and on the rules for the nationality concerned. See Permit L (short-term).
  • Permit B (residence). The standard residence permit for an assignee. Its renewal depends on the continuing basis for the stay. See Permit B (residence).
  • Permit C (settlement). An establishment permit with a different regime. It can be accelerated for some nationalities. See Permit C (settlement).

Rules for citizens of EU and EFTA states differ from those for citizens of third states. Third-state nationals are subject to quota planning and to the employer's justification of the post, so a renewal is not a formality. Employer quota planning explains the logic. The exact durations of each permit and the renewal details are for the authority to confirm; this page does not state them.

From first reminder to new permit card

The filing window is set by the canton. Some offices accept an application well ahead of expiry; others only accept it in a narrow period. A date that applies in one canton cannot be assumed for another.

Documents the cantonal office usually asks for

The list varies, but the core items are consistent. Prepare them as a pack, held by HR.

  • A valid passport, with enough validity left for the new permit period
  • The current permit card
  • A current employment contract, or a letter from the employer confirming the post
  • Proof of the residential address in Switzerland, such as a rental contract
  • Proof of health insurance
  • Civil status documents for family members, where relevant
  • Passport photographs in the format the office specifies
  • The application form for the canton

Foreign documents may need an official translation or a legalisation. Ask the office which formats it accepts. Immigration support covers how a specialist can review the pack.

What can go wrong

Most problems are administrative. They are avoidable, but they are rarely noticed until the deadline is close.

The expiry date is missed

HR assumes the employee tracks it, and the employee assumes HR does. A single owner and a shared register close this gap.

The facts changed and nobody reported it

A move to a new address, a new employer entity, a new role or a change in family status can all affect the permit. Changes are normally reported to the commune or the cantonal office when they happen, not at renewal. A mismatch discovered at renewal slows the file.

The employee moves canton

A transfer to another canton changes the authority in charge. This case has its own rules, covered in changing canton for permit holders.

The passport is close to expiry

A new permit is normally tied to the validity of the passport. An employee whose passport is about to lapse should renew it first, which can take time at a foreign consulate.

The employment basis has weakened

A reduced working time, a pause in the contract or a change of employer can affect whether the permit can be renewed at all. HR should raise these changes with the authority before a decision about the permit depends on them.

The family file is incomplete

A spouse or child on a dependent permit relies on the main permit holder. A gap in the family's papers can delay the whole household. See family reunification.

Salary or quota issues surface

For third-state nationals, the authority looks again at the justification for the post. Is there a minimum salary for a Swiss work permit? sets out how salary is read in this context.

A practical sequence for HR

  1. Build a register with the permit category, expiry date, canton and responsible person for each assignee.
  2. Set an internal reminder well before the filing window opens, not just before expiry.
  3. Ask the cantonal office for the current form, the route and the window.
  4. Collect documents from the employee and check them against the list.
  5. File, keep proof of filing, and note any request for further information.
  6. When the new card arrives, check the details, update the register and inform payroll.

If the employee's situation is complex, such as a founder, an assignee with a binational family, or a person changing role, the case benefits from a specialist review. See moving to Switzerland as an entrepreneur or founder, binational couples and self-employed and founder permits.

When to bring in a specialist

Renewal is routine when nothing has changed. It is not routine when the role, the employer entity, the household or the canton has changed. A specialist can read the file against the cantonal practice, before the application is filed.

The site does not decide any permit. The authorities do. A request through Request relocation support is passed to the relocation company that fits the need. It reviews the case and explains the steps.

Frequently asked questions

Can a Swiss residence permit be renewed from abroad?

In general the application is filed through the authority in Switzerland, so presence or a local representative is usual. The cantonal office confirms whether any step can be done remotely.

Who is responsible for renewal, the employer or the employee?

Both share it. The employer usually holds the employment documents and often submits the file. The employee supplies personal documents and keeps the passport valid.

When does the renewal process start?

Well before the permit lapses. The window is set by the canton, so HR asks the cantonal office when it opens rather than assuming a date.

What happens if the permit expires before renewal?

The right to stay and work may be affected. Contact the cantonal office at once and keep proof of any application already filed.

Is renewal automatic?

No. The authority reviews the situation again. A renewal depends on a continuing basis for the stay, such as employment.

Does the same process apply to permits L, B and C?

No. Each category has its own regime. Permit L is tied to a limited stay, permit B to continuing residence, and permit C is an establishment permit with different rules.

Do EU and EFTA citizens follow the same route as other nationals?

The rules differ. Third-state nationals face quota planning and a closer review of the post. The cantonal office confirms the route for each nationality.

What documents does the office usually ask for?

A passport, the current permit, an employment contract or employer letter, proof of address and proof of health insurance. Family members add civil status documents.

Does a new employment contract affect the renewal?

Yes. A change of role, salary or employer entity is part of what the authority reviews. Report changes when they happen, not only at renewal.

What if the employee changes address?

An address change is reported to the commune. The permit file should match the real residence at the time of renewal.

What if the employee moves to another canton?

The new canton becomes the competent authority. This is a separate procedure, explained in the page on changing canton.

Can the family's permits be renewed together?

Often they are handled together, but each person has a permit of their own. Missing papers for one family member can delay the others.

Is a translation of foreign documents needed?

Sometimes. The office states which languages and formats it accepts, and whether legalisation is needed.

Does the passport need to be valid?

Yes. The new permit is tied to the passport, so an expiring passport is renewed first.

What if the application is refused?

The authority gives a decision with reasons. A specialist can read the decision and explain the options, which depend on the canton and the permit category.

Can the employer be held responsible for a lapsed permit?

An employer is responsible for lawful employment. Employing a person without a valid right to work carries risk for the company, which is why a register matters.

Does renewal affect tax or health insurance?

The permit status is one input to both. Tax and insurance questions are handled by the relevant specialists, not by this page.

How does a self-employed person renew?

The authority looks at the continuing business activity, so business records are central. See the page on self-employed and founder permits.

Does a short assignment ever lead to an extension?

Sometimes, depending on the reason for the stay and the nationality. The cantonal office decides.

What can a relocation company do in a renewal?

It can review the pack, explain the cantonal route, coordinate with the authority and track the timeline. The authority alone decides the permit.
